Purchasing Administrator [United Kingdom]


 

REPORTS TO (TITLE): Procurement Manager

DEPARTMENT/LOCATION: Purchasing

MAIN PURPOSE OF THE JOB

This position is responsible for providing administrative support to the purchasing team.

PRINCIPAL ACCOUNTABILITIES

  • Daily review & actioning of Purchasing direct email account
  • Daily review of purchase requests and where appropriate processing of the orders with existing and established supplier base
  • Tracking / review of order acknowledgements and expediting orders to ensure timely delivery
  • Upkeep of hired equipment register and checking accuracy with site personnel – off-hiring and arranging uplift of goods as required
  • Assist in monitoring stock levels and identifying requirements
  • Investigating invoice queries for assignment to relevant person. Regular review of query reports with follow up actions recorded
  • Maintain accurate data on RAPS (Robson Automated Purchasing System), ensuring supplier records are kept up to date including contact details, insurances, ISO certification etc.
  • Liaise with Goods-In / Stores staff to ensure delivery notes are correctly matched, receipted and passed to finance.
  • Record and track purchasing department credit card spend / monthly reconciliation of statement.

CONTEXT

The role works closely with finance, commercial, engineering and site teams.

SKILLS, EDUCATION & EXPERIENCE

  • Have existing administrative experience preferably within a purchasing role/function
  • Have good organisational skills, with a strong attention to detail and the ability to work under pressure, prioritise and multitask
  • Be extremely competent with IT, a good working knowledge of Microsoft Excel, Outlook and Word
  • Good mathematical skills with ability to manipulate spreadsheet data
  • Be self-motivated, able to meet deadlines and work unsupervised
  • Be a confident communicator able to develop a productive relationship with suppliers and colleagues
